A fraud-resistant operational system for a multi-customer freight broker.
When the spreadsheet stopped paying for itself.
A West Bengal freight broker had lost ₹85 lakhs to internal fraud over twelve months. The operation ran on Excel, WhatsApp and trust — and trust was gone. They needed an operational system that priced trips, dispatched trucks, captured proof, billed customers, settled owners, and made every paisa accountable to an audit trail.
Twenty days to a working system. One operator. One admin.
An operational system, end-to-end.
Trip lifecycle
DRAFT → DISPATCHED → DELIVERED → COMPLETED, with status history on every row and per-trip audit trail capturing IP, user agent, session, and before/after data.
Delivery-challan OCR
Vision-model OCR with per-field confidence scoring. Fields scoring under 95% are flagged amber for operator review before dispatch.
Pump-credit reconciliation
Three-tier slip → bill → payment knock-off matrix with manual allocation. No implicit rollovers; every paisa traceable to a row.
Site cash ledger
Owner advances and pump-cash debits auto-post on dispatch. Ops can record replenishments and miscellaneous expenses; adjustments are admin-only.
Bills & PDFs
Customer bills (ITJSW) and owner bills (MIT) generated as PDFs that match the legacy paper formats — printed and signed without retraining anyone.
Tamper-proof audit log
DB triggers capture every mutation with surveillance context. Admin can see who did what, when, from where — in seconds.
Every state change moves money, and leaves a record.
No screenshots: the system is live and holds a client’s customer, vehicle and payment records. This is the state machine it enforces.
Shipped to production in twenty days.
- 322 vehicles and 181 owners imported from the operator’s spreadsheet in one pass.
- OCR accuracy 96–99% on a sample of 30 challans; about 9 of 40 fields per challan flagged for review on average.
- 20 days from spec to production. Two roles, one operator, full audit trail.
- Every cash movement now reconciles to a system row. The fraud surface that lost ₹85 lakhs last year is now visible by default.
